Third parties are the companies and people your organization has contracts with: vendors, consultants, processors, and so on. Keep each one in PolicyCo along with its contacts and the services you buy from it, so everything is in one place when you need it.
Find your third parties
Click Third Parties in the sidebar. The grid lists each third party with its status, type, name and website. Use the Active and Archived buttons at the top right to switch between current and archived ones. Double-click a row to open that third party.
Add a third party
Click the new icon next to the Third Parties title.
Start with the website, then the name. Everything else is optional.
Click Create.
Open the third party any time to fill in the rest: address, phone and a description of what they do for you. Changes save as you type.
Set up your types
Owners and Project Managers choose the types that show up on third parties and on contacts. Go to Settings, then Organization Profile, and scroll to Third Party Options. Third party types start with Consultant, Processor and Vendor. Add your own, or archive the ones you don't use. Contact types work the same way, so you can tag people as Legal, Finance, Support and so on. You can pick more than one type for a third party or a contact.
Contacts
Contacts are the people at a third party. Each one needs a first name, last name and email. Title, phone and types are optional.
Add a contact: Click the new icon next to Contacts on the third party's page.
Email is unique: Two active contacts on the same third party can't share an email address. Archive one if you need to reuse it.
Open a contact: Click it to edit it. Changes save as you go.
Services
Services are what you buy from a third party, like a subscription or a support contract. Click the new icon next to Services to add one, then click it to fill in the details:
How is this billed? and Billing Period: for example Subscription and Monthly.
Contract Start and Renewal Date.
Amount: PolicyCo shows the yearly total underneath.
Account / Customer ID: handy when you call support.
Description: what the service covers.
Link contacts to services
Every contact is always linked to its third party. You can also link a contact to a specific service, which is handy when a vendor provides different services with different contacts. On a service, the Linked Contacts list shows who to call about it. Click the link icon beside Linked Contacts to pick from your existing contacts, or the new icon to add a new one. When you add a contact to a service, they're added to the third party too. Archived contacts can't be linked to a service.
Archive a third party, contact or service
To archive a third party or service, click the three dots next to its name at the top of the page and choose Archive. Archived ones move to the Archived view instead of being deleted.
