Downloading a Policy

Learn how to download a copy of a policy to your machine or email a downloaded policy directly.

Released policies can be downloaded as .pdf or .docx format(s) from either the Editor or Viewer. For instructions on how to access the viewer click here. Downloaded policies can include one or many policies, as chosen by the user. The download can also include Procedures and Controls, if chosen by the user.

To Download a Policy from the Viewer

  • Click on the policy within the Viewer

  • Click the square logo menu from the right corner

  • Click Download

  • Choose format from drop down menu

  • Choose additional policies (as applicable) to include int he download

  • Choose the option(s) to include Procedures and/or Controls in the download

  • Click Download
    If there are multiple policies, they will be separate documents in a .zip file

To Email a Policy from the Viewer

  • Click on the policy within the Viewer

  • Click the square logo menu from the right corner

  • Click Download

  • Choose format from drop down menu

  • Choose additional policies (as applicable) to include int he download

  • Choose the option(s) to include Procedures and/or Controls in the download

  • Choose Email Recipients

  • Add Email Address(es)

  • Click Send

  • Policy or Policies will be delivered to the email address(es) as an attachment
    If there are multiple policies, they will be separate documents in a .zip file

To Download a Policy from the Editor

  • Click Policies

  • Click on Policy

  • Click on three-dot hamburger menu under Add New button

  • Click File Download and a modal will pop up

  • Choose format from drop down menu

  • Choose additional policies (as applicable) to include int he download

  • Choose the option(s) to include Procedures and/or Controls in the download

  • Click Download
    If there are multiple policies, they will be separate documents in a .zip file

To Email a Policy from the Editor

  • Click Policies

  • Click on Policy

  • Click on three-dot hamburger menu under Add New button

  • Click File Download and a modal will pop up

  • Choose format from drop down menu

  • Choose the option(s) to include Procedures and/or Controls in the download

  • Choose Email Recipients

  • Add Email Address(es)

  • Click Send

  • Policy or Policies will be delivered to the email address(es) as an attachment

To Download a Candidate for Release

It's important to understand that a candidate for release is not effective policy, but considered a draft until it is released and effective. PolicyCo will allow for the download of a Candidate for Release, but with some additional guardrails and limitations. This feature is best suited for when an organization needs to review a candidate outside of the system, with Board members, for example before releasing it in the platform.

  • Navigate to the Release Candidate in Policy Settings

  • Track changes are available by default and compare the candidate for release to the previously (current) released version of the policy

    • Green highlight indicates content that was added to an approved article

    • Red Strike-through indicates content that was removed from an approved article

    • Click the three-dot hamburger menu to choose to hide redlines

  • Click the three-dot hamburger menu

  • Click Download/Share

    • Special Notes: A candidate for release can include the Changelog but will not provide the option to to include controls, nor procedures (even when linked.) Controls and procedures linked are only available in downloads of Released Policies. Candidates for Release are also PDF only.
