The AI agent is your built-in assistant. It can answer questions about your policies and procedures, help you write new ones, and clean up what you already have.
Where to Find It
There are two places:
Top left, next to Search: Click the sparkle icon to ask questions about any of your policies and procedures.
In the editor: Click into a policy article or procedure, then click the sparkle icon in the editor toolbar. Choose Agent discussion to work on that document. The agent already knows which one you're in.
Ask and Plan
The agent has two modes.
Ask: Answers questions. Use it to find a policy or procedure, search for a word or phrase, read a policy, or check on your tasks and third parties.
Plan: Proposes changes to a document. Use it when you want something written or edited.
What It Can Do
Answer questions about a specific policy or procedure.
Build a procedure. Click Add New, then ask the agent to write it, or upload an existing one.
Draft or import a policy. On the New Policy screen, choose Draft with AI or Import. Import requires the LLM to be turned on.
Clean up a document. Fix grammar, make the wording more formal, tighten steps, restructure, or find and replace.
Check for overlap. Ask it to compare a document against your other policies and procedures and flag duplicates or conflicts.
Quick Edit Options
In the editor, the sparkle menu also has one-click options: Fix grammar, Formalize, and Deduplicate concepts.
Approving the Agent's Changes
The agent never changes a document on its own. It shows you a proposal first, with deletions crossed out and additions highlighted. Then you choose:
Accept: Applies the changes.
Accept and Request Review: Applies the changes and sends the document for review.
Reject: Throws the proposal away. You can tell the agent what to do instead.
Smart & Secure
We know security matters, so we built this with strict boundaries:
Permissions are King: The AI respects user roles. A user will never get an answer derived from a document they don't have permission to see.
Only the "Real" Stuff: To prevent confusion, the AI only learns from finalized content. It searches the most current Policy Releases and Approved Procedures. It completely ignores drafts, candidates, or anything currently under review.
For Owners & Admins
This integration is enabled by default to help your team immediately. However, if you need to turn it off for any reason, you have full control.
Go to Settings > LLM.
Click Deactivate.
