Learn how attachment supplement policies and procedures

There are cases when policies or procedures need to reference documents that don't fit neatly inline. We have designed attachments to fill this need. An attachment can be any file that you need to reference. You may need to reference a spreadsheet, word document, image, pdf or other file with a policy or procedure.

Download Attachments

The viewer displays attachments as cards below the appropriate articles and procedures. Download an attachment by clicking on the download icon on the left side of the attachments card.

Deeper Dive

Keep in mind that we've built attachments for re-use. If you create an attachment and link it to an article or procedure, that same attachment can also be linked to other policies or procedures. Allowing for re-use is convenient because you can maintain a single copy of the attachment and connect it to multiple policies and procedures. If, at a later date, the attachment needs to be changed, you can re-upload a new version and it will retain its associations. It is important to note that we do not track your history of attachment versions. That is beyond the scope of the PolicyCo platform.

Create an Attachment

Let's link a new attachment to an article. First, navigate to an article in one of your policies. Below the control and procedures linking controls, see attachments and click on the plus.

This will open the linking window. This is your opportunity to browse or search for an existing attachment and link it to the article. If you are following along, go ahead and click "Create New" to upload a new attachment.

Click Upload File and select a file from your computer. At this point you have the option to rename the file and add a description. Once you are satisfied, click Submit.

Attachments Management

Owners, Policy Managers, and Department Manager have access to an additional sidebar view creatively named Attachments. It displays a count of all active attachments. Selecting this item reveals a grid with a list of all active attachments. It's important to note that archived attachments are also accessible by modifying the filter under the Status column.

You may archive an attachment once it's been unlinked from all policies and procedures. Archive is essentially equivalent to a delete operation. Once archived, it is only accessible from this Attachments tab.

Each row represents an attachment. Clicking on a row expands it revealing articles and procedures attached to it. Keep in mind that the main row represents the attachment. Right clicking on the main row displays eligible actions for the attachment.

The attachments row also expands to show detail. The detail displays policies and procedres linked to the attachment. Right clicking on the detail rows provides different actions than right clicking on the attachments row. Here is a list of all the actions:
